The problem with downloadable templates

A blank template still leaves the work to you

Search for a free Australian invoice template and you will find hundreds of Word and Excel files. They are genuinely free, and they genuinely do not help very much, because the hard parts of invoicing are not the borders and the fonts.

The hard parts are remembering which fields the ATO requires, keeping the numbering unique, not breaking the GST formula, and still having the file in five years. A downloadable template hands all four back to you.

  • It cannot number itself Every copy starts life as a duplicate of the last one, which is how two invoices end up as INV-041.
  • The formulas are yours to break One pasted cell and the GST column stops calculating, usually silently.
  • It does not know the rules A template built for a GST-registered business is wrong for one that is not, and nothing warns you.
  • The record is a file, not a system Business records must be kept for at least five years. A folder on one laptop is a fragile way to do that.

What makes an Australian invoice template different

An invoice template from a US or UK site will look fine and be wrong in ways that cost you. It will have a field for sales tax or VAT rather than GST at 10%. It will not have a place for an ABN. It will not distinguish between an invoice and a tax invoice, a distinction that matters here because only a valid tax invoice lets your customer claim the GST credit.

An Australian template needs to handle the ABN, GST at 10% shown as its own amount, the taxable status of each line, and the extra requirement that kicks in at $1,000 where the buyer's identity or ABN must also appear. It also needs to stop calling itself a tax invoice when the business issuing it is not registered for GST.

When you should not use a tax invoice template

If you are not registered for GST, you must not charge GST and you should not issue a document headed 'Tax invoice'. Issuing one implies you are registered and collecting GST that you are not entitled to collect. Use a plain invoice instead — same information, minus the GST and minus the word 'tax'.

Can I use it if I am a sole trader?

Yes, and it is one of the most common uses. Sole traders invoice under their own ABN, with or without GST registration. The ABN invoice template covers that case specifically.
