What to put on a quote
A quote has no legal template the way a tax invoice does, which means the discipline has to come from you. The quotes that avoid trouble later tend to share the same handful of things.
- An itemised breakdown. A single lump sum invites the customer to negotiate the whole figure. Line items let them see what they would be removing.
- The GST position, stated. Either show GST as its own amount or say plainly that the total includes it. Do not leave it to be discovered on the invoice.
- What is not included. Exclusions prevent the most common dispute, which is scope rather than price.
- How long the price holds. Thirty days is standard. It protects you when material costs move.
- Your payment terms. Say when payment is due and how it should be made, so the invoice contains no surprises.
- Whether it is a quote or an estimate. A quote is a fixed offer. An estimate is an approximation. Using the wrong word is how a rough figure becomes a binding one.
The gap between quote and invoice
Most invoicing disputes are not really about the invoice. They are about the distance between what was quoted and what was billed — a figure that changed, a line item that appeared, a scope that grew without anyone writing it down.
Converting the quote directly into the invoice closes that gap mechanically. The invoice starts as the quote, so any difference between them is a change you made deliberately rather than a discrepancy you introduced by retyping.

What is the difference between a quote and an invoice?
A quote is an offer: it sets out what you propose to supply and what it will cost, before the work happens. An invoice is a demand for payment after the work is done. A quote does not need to meet tax invoice requirements because no sale has occurred yet — but the invoice that follows it does.
Should a quote include GST?
If you are registered for GST, your quote should make the GST position clear so the customer knows the final figure. Quoting a price and adding 10% later is the most common cause of an argument at invoice time. If you are not registered, do not add GST at all.
How long is a quote valid for?
