How free invoicing software usually is not free

Most tools marketed as free have a shape to them. It is worth knowing which shape you are signing up to before you have a year of invoices inside it.

Why free at all?

InvoiceGen was built by a team that has run small businesses in Australia for 28 years, largely because the tooling at the small end was either expensive or awkward. Keeping the invoicing free is the point of it, not a promotion.

Where it fits

Invoicing software is not accounting software

It is worth being clear about the boundary. Accounting software reconciles bank feeds, produces your BAS, runs payroll and gives your accountant a general ledger. Invoicing software creates the document that asks a customer to pay, and keeps track of what has been sent.

Plenty of small businesses need both, and plenty need only the second — particularly sole traders and small trades whose accountant handles the rest at year end. If you are paying a subscription for accounting software and only using the invoice screen, you are paying for the ledger you never open.

What is the best free invoicing software in Australia?

That depends on what you need beyond the invoice. If you only ever raise invoices, almost any tool will do. If you also quote for work, chase leads and track orders, you want those stages connected so nothing is retyped. InvoiceGen covers all four and is free with no time limit, which is unusual — most free tiers cap invoices per month or expire after a trial.

Does invoicing software need to be ATO approved?

There is no general ATO approval scheme for invoicing software. What matters is that the invoices it produces carry the required information and that you keep your records for at least five years. Separate accreditation exists for specific services such as Single Touch Payroll and eInvoicing over the Peppol network, which are different things from raising an invoice.

Can I move from a spreadsheet to InvoiceGen?

Yes. Add your business details and your customers, and start numbering from wherever your spreadsheet left off — the invoice number can be set manually so your series continues unbroken. Keep the old spreadsheet as your record for past invoices; you need to retain those for five years regardless of what you move to.

Is my data stored in Australia?

InvoiceGen is built and run by an Australian company based in Manly, NSW. For specifics on where data is hosted and how it is handled, get in touch and we will tell you plainly.

What happens to my invoices if I stop using it?

You can download your invoices as PDFs at any time. Because you must keep business records for at least five years, it is worth exporting a copy for your own files whenever you change systems.
